Garda Vetting

About

Mary Immaculate College is registered with the Garda National Vetting Bureau for the provision of Garda Vetting services. In January 2008, the College introduced Garda Vetting for all students over the age of 18 years who have substantial unsupervised access to children and/or vulnerable adults during the course of their studies at MIC.

Garda Vetting will only be conducted in respect of students between the ages of 16 years and 18 years, predicated on the written consent of a parent or guardian, and all applications for Garda Vetting in this case must be accompanied by a completed parent/guardian consent form.

Role:

  • To process all applications for Garda Vetting
  • To manage their progression from application through to receipt of Vetting Reference from the National Vetting Bureau.
  • To maintain a confidential database of all information received.

Services provided:

  • Attending at Orientation days to advise new students on Garda Vetting and on the correct procedure in the completion of application forms.
  • Liaising with all College departments on issues relating to Garda Vetting and advising on best practice.

Guidelines

The Garda Vetting application process is a two stage process:

 

Stage 1

Fill in the NVB1 form and ensure your writing is legible. Follow-up calls to clarify data can be time consuming and can delay your vetting process.

If you are under 18 years your parent/guardian will need to complete the Parent/Guardian Consent form and provide their contact details. Please attach this form to your application.

Your application must be accompanied by up to date photo ID and address verification.  You will find acceptable forms of ID and address verification at:  Acceptable ID under the Documentation button.

It is no longer acceptable to post applications or drop them in to the College.  All applications and supporting ID must be validated by a member of staff at the College.

Incoming students will have a validation meeting as part of Registration.  Please allow c. 5 minutes for this meeting.

Some Post Graduate students will also be facilitated at registration or meeting can be schedules at a later stage.

New students must bring a fully completed NVB1 form (if you are under 18 years, you must include a fully completed Parent Guardian Consent Form (NVB3 form).

Please also bring your supporting ID (photo ID and address verification).  Ideally you should bring originals and photocopies of the originals. These must be up to date and match the information on your application form. You must use the same version of your name as that on your photo ID.

A member of staff at the College will validate your application and supporting documentation.  Garda Vetting Member of Staff Validation Form. Incomplete applications or those missing supporting ID and address verification will not be accepted. Please allow a few minutes for the validation process.

On completion of your application, your letter will issue along with those for the rest of your cohort.

 

Stage 2

When the data on your NVB1 form has been processed, the National Vetting Bureau will send you an email containing a link to part 2 of your application. Please complete this online part carefully.  If you notice errors please inform the Garda Vetting Officer before you proceed with this step. Only submit part 2 when you are certain all the data is correct. 

This email will be sent to the email address you provide on your NVB1 form. So please ensure you have provided the correct email address.  It is important not to allow this link to expire so please look out for this email and also check your SPAM and Deleted Mail folders.

You must complete and submit part 2, the online part of your application, in order to begin the Garda Vetting process.

Completion of the process can take up to 10 days, all being well.

Your Letter of Disclosure will be sent to you in due course, prior to placement.

If your circumstances change in a way that would alter the outcome of your vetting, you must inform the College of any such changes.

Second Year students who intend to undertake a work placement in a school environment or early years setting, in their Off-Campus year will be advised by the Placement & Careers Office on the procedure to be followed.

In accordance with the Retention of Document schedule all student records will be destroyed one year after graduation date.

Records Management

ID documentatiopn must be up to date - you must provide one photo ID document and one address verification document from the list at the link below. The name and address documentation must match the information on your application form.

Following new Garda Vetting measures and regulations, it is no longer possible to post your application for Garda Vetting.  You must meet with a member of College staff to have your application validated.  Validation meetings will take place during Orientation/Registration.

When you have completed your application please bring it to the College on your Orientation day. A completed application consists of the following: NVB1 Form, Photo ID, Address Verification and Parent Guardian Consent form (if you are under the age of 18 years). Please bring originals and copies.

If you cannot attend on Orientation day, you must make arrangements to meet with an officer of the College in order to have your application validated. Applications not validated by a member of staff at the College cannot be accepted.

Duplicate Letters

Your Letter of Disclosure will be posted to the address you provide on your NVB1 form.  This must be your home address and not a temporary or student address. When you receive your Letter, it is good practice to laminate it and keep it safely to avoid copy letter admin fees.

However if you do need a duplicate letter the procedure is as follows:

  • Pay the replacement letter fee of €15 by clicking on this link: www.mic.ul.ie/charges
  • Return the receipt by email to the Garda Vetting Office.
  • Please include your programme of study and a unique identifier i.e. date of birth.
  • Your letter will be sent to you by return.

International Students

Foreign Police Certification
Mary Immaculate College cannot obtain foreign policy certification. The individual, when
requested, must obtain this and provide it to the College.

If you have lived outside Ireland or Northern Ireland for a cumulative period of 36 month from the age of 18 years you will be required to submit an International Police Certificate for each country of domicile.
International Students must provide photo ID and proof of address from their home address at their country of residence.
